Abstract : The use of typewritten or handwritten purchase/delivery orders at SPCC (Navy Ships Parts Control Center) requires certain cost, destination, and quantity data be manually extracted from the completed documents. These data are currently transcribed and keypunched before they are available as input to the automated purchase cycle. With the increasing volume of purchase documents created, as well as the requirement under MILSCAP (Military Standard Contract Administration Procedures) to retain additional information from purchase/delivery orders, an increased workload has been placed upon SPCC to meet the data capturing requirement. In addition, the manual transcription procedure is prone to error and causes undesirable delays in file updates. Consequently, the SPCC Purchase Division has sought a means of source data automation. Several accounting machines were installed which capture the required data in the appropriate format for subsequent computer processing for each purchase/delivery order as it is prepared. It was found that these machines not only eliminated the requirement for manual transcription of data from the completed purchase documents, but also increased the rate at which these documents could be prepared.
